Discovery Call
Every engagement starts with a conversation, not a quote. We take time to understand your institution's actual requirements, existing systems, constraints, and goals. No assumptions, no generic solutions. This call is free and carries zero commitment — it exists so both sides can determine whether we're the right fit before anything is signed.

Scoping & Proposal
Based on the discovery conversation, we produce a detailed written proposal. This includes a clear definition of the system to be built, the technical approach, a phased timeline with milestones, and a transparent cost breakdown. You will know exactly what you are getting, when you are getting it, and what it costs — before a single line of code is written.

Agreement & Kickoff
Once the proposal is reviewed and approved, a formal agreement is signed and the project is officially initiated. A kickoff session is held to align on communication cadence, milestone dates, staging environments, and any access or credentials required. From this point, you have a dedicated point of contact for the entire duration of the project.

Architecture & Design
Before development begins, the system architecture is fully planned. Database structure, API design, third-party integrations, and infrastructure decisions are all documented and shared with you. If the project requires UI design, wireframes and design mockups are reviewed and signed off before implementation begins. Nothing moves to development without your explicit approval.

Development & Milestone Reviews
Development runs in defined sprints. At the completion of each milestone, a staging preview is shared — a live, working version of the system at that point in development. You review it, provide feedback, and sign off before the next phase begins. You are never left wondering what is being built or how far along it is.

Testing & Client Sign-off
Before any system goes live, it goes through structured testing — functional, performance, and edge-case scenarios relevant to your institution's environment. A full test report is shared. You review the completed system on staging, confirm everything meets the agreed specification, and provide final sign-off. Nothing is deployed to production without your explicit approval.

Deployment & Documentation
Once signed off, the system is deployed to your production environment. This includes infrastructure configuration, domain setup, SSL, and any third-party service connections required. Full technical documentation is delivered alongside the live system — covering architecture, codebase structure, and operational procedures so your team understands exactly what was built and how it runs.

Ongoing Support & Retainer
Delivery is not the end of the engagement. A monthly retainer keeps your system maintained, secure, and evolving. Bug fixes, performance monitoring, minor feature additions, and technical support are all covered. You work with the same team that built the system — no knowledge transfer, no onboarding a new vendor, no starting over.
